1. Introduction

This Privacy Policy explains how ShaanXi ChunMei XuChuan Trading Co., Ltd. collects, uses, stores and protects information when you visit our website, contact our orchard desk, or work with us on a purchase, grading or packing engagement. The website and the desk are operated under the developer name PlumRiver Trade, and references to the developer name in this policy refer to the same team that runs the desk.

We wrote this policy in plain language on purpose. The people who read it are growers, packing houses, buyers and partners, not lawyers, and a policy that cannot be understood is not much use to anyone. Where a legal term is unavoidable, we explain it in the sentence that follows.

Our registered office is at ShaanXi ChunMei XuChuan Trading Co., Ltd., No 17 Group 1, Wangche Village, Zhouling Subdistrict, Qinyang Xincheng, Xixian New Area, XiAn City - 710000, China (CN). You can reach the team that handles privacy questions at procurement@plumrivertrade.lol or by phone at +19898387423.

By using this website or sending a message to the desk, you agree to the practices described here. If you do not agree, please do not use the website or send us information, and instead contact us so that we can discuss an alternative arrangement in person.

2. Who We Are

ShaanXi ChunMei XuChuan Trading Co., Ltd. is a trading company working in the orchard sector. Our industry is computer systems design and related services, professional, scientific and technical services, and computer integrated systems design. We buy produce, keep grade cards and lot notes, plan season windows, and build the small integrated systems that hold those records together.

For the purposes of applicable data protection law, the company is the controller of the personal information described in this policy. That means the company decides why information is collected and how it is used. When we process information on behalf of a grower or packing house as part of a service, we act as a processor and follow the written instructions of that partner.

The developer name PlumRiver Trade is used for the design and software work behind the website and the desk tools. A message sent to the privacy contact reaches the same small team that answers desk enquiries, so you will not be passed between departments.

3. Scope of This Policy

This policy covers the personal information we handle through the website, through email and phone contact with the desk, and through the purchase, grading and packing services we provide. It covers visitors, growers, buyers, packing house staff, service providers and anyone else who contacts us.

This policy does not cover information held by other companies or websites that you reach through a link from our pages. Those third parties have their own privacy practices, and we encourage you to read them before sharing information with them.

If a separate written agreement between you and ShaanXi ChunMei XuChuan Trading Co., Ltd. sets out different privacy terms for a particular engagement, that agreement will take priority for the parts it covers.

4. Information We Collect

We try to collect only what we need. In practice this falls into four groups.

Information you give us directly

  • Your name, email address, phone number and organisation when you contact the desk.
  • The subject and content of a message sent through the contact form or by email.
  • Grower and packing house details such as field names, block letters and contact people.
  • Purchase sheet details, grade card readings and lot note content that identify a person as recorder or signer.
  • Billing and delivery details needed to complete a trade.

Information created during a service

  • Records of which recorder walked a review round and at what time.
  • Notes on who signed a packing sitting closed and when.
  • Correspondence about a lot, a window change or a corrected grade card.

Information collected automatically

  • Technical information such as browser type, device type and approximate region.
  • Basic server log information including the pages requested and the time of the request.
  • Information about how you arrived at the website, where this is available in a standard web log.

Information from third parties

  • Contact details passed to us by a grower or packing house that introduces you to the desk.
  • Publicly available business information used to verify a trading partner.

We do not ask for sensitive personal information such as health data, religious beliefs or precise location, and we ask that you do not send such information to the desk. If a document contains a national identity number or another sensitive detail, the desk will ask for a redacted copy.

5. How We Collect Information

Most information reaches us because you choose to send it. A contact form, an email, a phone call or a printed sheet handed over at the bench all count. The desk records what you tell us and notes the date of the conversation so that later questions can be answered accurately.

Some information is created as a normal part of the work. When a recorder signs a grade card run, the record contains a name and a time. When a packing sitting closes, the signed sheet names the person who confirmed weight, grade and liner. These records exist because a lot must be traceable, and a traceable lot is what lets us stand behind our product.

A smaller amount is collected automatically by the web server that hosts our pages. We do not run tracking scripts across other websites, and we do not buy personal data from data brokers.

6. Why We Use Information

We use personal information for purposes that a reasonable reader would expect from a trading desk.

  • To answer your message and to continue a conversation about a field, a lot or a service.
  • To prepare purchase sheets, grade cards and lot notes that name the people involved.
  • To plan and publish season windows and to notify partners when a window moves.
  • To run packing sittings and to reconcile the record after the sitting closes.
  • To invoice, deliver and support a trade in the normal course of business.
  • To keep business records that law or a written agreement requires us to keep.
  • To improve the website and the desk tools so that the next season runs more smoothly.
  • To protect the company, our partners and our records from fraud or misuse.

We do not use personal information to build profiles for advertising, and we do not sell personal information to anyone. If we ever propose a new use that is not described here, we will explain it and, where the law requires it, ask for your consent first.

7. Lawful Basis for Processing

Where data protection law requires a lawful basis, we rely on one or more of the following.

Performance of a contract

When you work with us on a trade, grading engagement or packing sitting, we process the information needed to carry out that work and to keep the record that the work implies.

Legitimate interests

We process information to run the desk sensibly: answering questions, keeping traceable records, preventing fraud and improving our tools. We weigh these interests against your rights and only act where the balance is fair.

Consent

Where we ask for consent, for example for an optional newsletter or a photograph of a field, we will ask clearly and you can withdraw at any time. Withdrawing consent does not affect work already carried out.

Legal obligation

Some records must be kept because tax, customs or trading law requires it. In those cases we keep the minimum required and restrict access to the people who need it.

8. Orchard and Lot Records

Orchard records are at the heart of our work, so they deserve a section of their own. A purchase sheet names the field and the block and records the buyer who opened it. A grade card run names the recorder and the time of the run. A lot note records who packed and who signed the sitting closed.

These records contain personal information about our own staff and about partner staff. We treat them as confidential business records. They are available to the people who need them to do their job, to the partner whose lot is described, and to a regulator or auditor where the law requires disclosure.

When a customer asks about a lot, we share the parts of the record that explain the lot: the grade bands, the pick date, the cooling and the seal time. We do not share the personal contact details of a recorder beyond what is needed to resolve a question, and we ask the customer to raise personnel matters with the desk rather than with an individual.

Recordings, photographs and scans linked to a lot are stored in the desk library. Access to the library is limited to named staff, and every access to a sensitive file is logged so that a misplaced record can be traced.

9. How We Share Information

We share personal information only where there is a clear reason. The main situations are set out below.

  • With your grower or packing house, when you are part of a lot and the record must reach the partner.
  • With hauliers and cold room operators, to the extent needed to move and store a lot.
  • With professional advisers such as accountants and auditors, under confidentiality duties.
  • With authorities, where the law or a valid legal request requires disclosure.
  • With a buyer or successor in the event of a merger or sale of the business, subject to equivalent protection.

We do not sell personal information, and we do not rent contact lists. Where a partner asks us to pass a message to a third party, we confirm what will be shared before we share it.

10. Service Providers

Like most small businesses, we rely on a few service providers. These include the company that hosts our website, the provider of our email, and the suppliers of the software we use to keep the desk records. Each provider sees only the information needed to perform its task.

We choose providers with care and require them to protect information, to use it only for the agreed purpose, and to return or delete it when the arrangement ends. Where a provider processes information outside the region where it was collected, we rely on appropriate safeguards as described in the section on international transfers.

If a provider suffers a security incident that affects your information, we will act on the incident with the provider and notify you where the law requires it.

11. Cookies and Similar Technologies

Our website uses the smallest possible set of cookies. A cookie is a small file that a website stores in your browser so that it can remember something between visits. We use a cookie only where it helps the site work reliably, such as remembering a preference for the current session.

We do not use advertising cookies, and we do not embed social media pixels that track you across other websites. If we add a cookie in future for a new feature, we will describe it in this policy and, where required, ask for your consent before setting it.

You can block or delete cookies in your browser settings. Blocking a strictly necessary cookie may cause part of the site to behave unexpectedly, but the main pages will continue to work.

12. Website Analytics

We look at simple, aggregated information about how the website is used so that we can make it clearer. This may include the number of visits to a page and the general region from which visits arrive. The information is aggregated before we read it, so it does not identify you personally.

We do not attempt to link analytics information to a named person, and we do not combine it with the records held at the desk. If a future analytics tool would change that, we will update this policy and give you a way to opt out.

Server logs are kept for a short period for security and troubleshooting, then discarded or aggregated. They are not used to build marketing audiences.

13. How Long We Keep Information

We keep information only as long as we need it for the purpose it was collected for, or as long as the law requires.

  • Messages from the contact form are kept for up to three years so that we can follow a conversation across seasons.
  • Purchase sheets, grade cards and lot notes are kept for the period required by trading and tax rules, and then archived in a restricted form.
  • Website logs are kept for a short period for security purposes and then discarded.
  • Marketing consent records are kept until you withdraw consent, plus a short period to prove the withdrawal.

When a retention period ends, we delete the information or reduce it to an aggregated form that no longer identifies anyone. If a legal hold applies to a record, we keep the record until the hold is released.

14. How We Protect Information

We protect information with a mix of practical habits and technical measures. Access to the desk records is limited to named staff who need it to do their work, and access rights are reviewed when a person joins, changes role or leaves. Devices that hold desk records are protected with passwords and kept up to date.

Records are backed up so that a single lost device or a cold room leak does not erase a season. Backups are stored in a way that limits who can read them, and a restore is tested from time to time rather than assumed.

No system is perfect, and we will not pretend otherwise. If a security incident occurs, we will contain it, assess its effect, and notify you and any regulator where the law requires it. We would rather tell you plainly what happened than quietly hope it goes away.

15. International Transfers

Our desk operates from Xixian New Area, XiAn City, China, and some of our service providers may process information in other countries. Where information leaves the region in which it was collected, we take steps to keep it protected.

These steps include using providers that offer appropriate contractual protections, limiting the information that leaves the desk to what a service actually needs, and reviewing the arrangement when a provider changes its systems. If you would like to know more about the safeguards that apply to a particular engagement, write to the privacy contact and we will explain them.

16. Your Rights

Depending on where you live, you may have some or all of the following rights over your personal information.

  • The right to be told what information we hold about you and why.
  • The right to a copy of the information we hold about you.
  • The right to ask us to correct information that is wrong or incomplete.
  • The right to ask us to delete information where there is no good reason for us to keep it.
  • The right to ask us to restrict how we use information while a concern is examined.
  • The right to object to a use based on legitimate interests.
  • The right to receive certain information in a portable format.
  • The right to withdraw consent where we relied on it.
  • The right to complain to a data protection authority.

To exercise a right, write to procurement@plumrivertrade.lol and tell us which right you are relying on. We will reply within the period the law allows and will explain any part of the request we cannot meet. Some records, such as a signed lot note, may be kept for legal or traceability reasons even after a deletion request, and we will tell you when that is the case.

17. Privacy for Children

Our website and services are aimed at adults working in the orchard and trading sectors. We do not knowingly collect personal information from children under the age of sixteen. If you believe that a child has sent information to the desk, contact us and we will delete it promptly.

We do not design any part of the website to attract children, and we do not run advertising on the site. A parent or guardian who has a question about the privacy of a child may write to the privacy contact and will receive a plain reply.

18. Marketing Communications

We send marketing emails only where you have asked for them, for example when a buyer asks to receive notice of season windows. Each email includes a simple way to stop receiving further messages, and a request to stop is honoured promptly.

We do not treat a message about a single lot as consent to a newsletter. If you contact the desk to discuss one field, you will receive replies about that field and not an advertising list.

Where the law allows us to send a message based on an existing business relationship, we still give you a way to opt out, and we keep a record of your choice so it survives a change of staff.

19. Third Party Links

Our pages may link to the websites of partners, hauliers or public authorities. Those websites are not under our control, and this policy does not apply to them. We check a link before we publish it, but a third party can change its practice at any time.

If you follow a link and are asked to share personal information, read the privacy policy of that website first. If you think a link from our pages leads somewhere misleading, tell the desk and we will review it.

20. Changes to This Policy

We review this policy from time to time. When we make a change, we update the date at the top of the page and, where the change is significant, we add a short note explaining what changed. The current version is the one that applies when you visit the website or contact the desk.

We keep earlier versions of the policy on file. If you need to see a version that applied at a particular date, write to the privacy contact and we will send a copy.

Continued use of the website or the desk services after a change means that the updated policy applies. If you do not agree with a change, contact us so that we can discuss your concerns.

21. How to Contact Us
